Terms of Use

1. Acceptance of Terms

By accessing and using RecPlan, you accept and agree to be bound by these Terms of Use. If you do not agree, please do not use the platform.

2. Account Registration

You must provide accurate information when registering. You are responsible for maintaining the security of your account and for all activities under your account.

3. Acceptable Use

You agree to use RecPlan for legitimate recreation management purposes. You will not enter false information, misuse AI features, attempt to access other organizations' data, or use the platform in ways that violate applicable laws.

4. AI Assistant

RecPlan includes AI features that generate recommendations and content. All AI-generated content is labeled and requires human review before use. Your team is responsible for reviewing and approving all AI outputs.

5. Subscription, Free Trial, Cancellation and Refunds

5.1 Plans and billing

RecPlan paid plans are billed monthly, or annually where you select an annual plan, per organization or business. Prices are in Canadian dollars and applicable taxes are additional. The plan, price, billing frequency and amount due are shown to you at checkout before you pay.

5.2 Free trial

A free trial is offered by invitation only, using a trial code issued by RecPlan. Where a trial applies to your subscription:

• A valid payment card is required at checkout.
• No charge is made on the day you subscribe.
• The trial runs for the number of days stated at checkout. The exact trial end date is disclosed to you before you pay.
• Unless you cancel before the trial ends, the trial converts automatically into a paid subscription, and your payment card is charged the plan price plus applicable taxes on the trial end date. That is the date of your first payment.
• The subscription then continues as a recurring subscription at the disclosed recurring price until cancelled.

5.3 Cancelling your subscription

You can cancel at any time from Subscription & Billing in your account ("Manage in Stripe Portal").

• If you cancel before the trial end date, you will not be charged.
• If you cancel a paid subscription, no further renewal charges are made. Access to the plan you have already paid for continues until the end of the current billing period.
• No cancellation fees apply.

5.4 Automatic renewal

Subscriptions renew automatically at the end of each billing period at the applicable rate unless cancelled before the renewal date. Renewal charges are made to the payment card on file.

5.5 Refunds

Except where a refund, cancellation right, credit or other remedy is required by applicable law, payments made to RecPlan are non-refundable. This includes subscription fees for a billing period that has already started.

Cancelling a subscription prevents future renewal charges according to the cancellation terms above, but does not create a refund entitlement for amounts already properly charged. Nothing in this section limits any non-waivable right or remedy available to you under applicable law.

5.6 Questions about a charge

If you have a question about a charge on your account, please contact us before the next renewal date so we can review it with you.

6. Data Responsibility

You are responsible for the accuracy of data entered, obtaining proper consent, managing user access, and complying with applicable privacy regulations in your jurisdiction.

7. Service Availability

RecPlan strives for high availability but does not guarantee uninterrupted service. Maintenance windows and occasional downtime may occur. We will communicate planned maintenance in advance when possible.

8. Limitation of Liability

RecPlan is provided as a tool to support recreation management. You remain responsible for clinical decisions, compliance, and resident care. RecPlan is not a substitute for professional judgment.

9. Changes to Terms

We may update these terms from time to time. Continued use of RecPlan after changes constitutes acceptance of the updated terms.
